Green River Community College is a two-year public college in Washington state that offers degrees/certificates in academic and professional technical programs, as well as courses in continuing education and developmental education. GENERAL DESCRIPTION:

The program assistant works under general supervision and performs work requiring knowledge and experience that is specific to the Connect2Complete (C2C) project and will also perform specific work for the TRiO Student Support Services (SSS) program.

 

For the C2C Project, the program assistant will compose and edit correspondence and printed materials and/or news releases related to the program policies, procedures and operations. In addition, the person will compile and distribute information specific to C2C, and confer with other campus departments to assist in making sure that the C2C project becomes integrated within the Student Services Division. The program assistant will also schedule appointments and meetings, maintain and monitor the project budget and inform the project facilitator of budget status.

 

For TRiO SSS, the program assistant will be the initial contact for TRiO by receiving participants, students, and visitors (answers questions in-person or via email or telephone). This position will coordinate arrangements for TRiO activities such as meetings, workshops, and conferences, along with compiling and distributing information relative to program activities, establishing records, maintaining files and records, recording and/or inputting data and/or statistical information, and preparing reports regarding program and activities.

SPECIFIC DUTIES: 

This position is an integral component of both the C2C project and TRiO program.

 

C2C Responsibilities 

  • For C2C the program assistant will provide student, staff, and participants with information and interpretation of project policies, procedures and regulations along with other duties. Specific responsibilities include:
    • Answer questions (in-person, or via email or telephone)
    • May oversee a front desk area, acting as receptionist for C2C and directing others to appropriate programs and resources
    • Use word processing for the composure of correspondence
    • Draft routine forms and letters, assemble reports, proofread material making corrections for sentence structure, spelling, grammar, and punctuation
    • Compose and maintain status of data for reports and maintain inventory records
    • Use software, email or telephone to coordinate arrangements (appointments, workshops, orientations) and also schedule functions
    • Confer with other campus departments to assist in project integration and service learning projects within the student services division
    • Establish / create filing systems and maintain data and records and provide information and data for weekly, monthly, quarterly, and annual reporting
    • Perform spreadsheet and database functions
    • Use spreadsheets to maintain and monitor budgets
    • Lead the work of others (work study)

TRiO Responsibilities

  • For TRiO SSS, the program assistant will serve as the initial contact for the area; Other responsibilities include:
    • Answer questions (in-person, or via email or telephone)
    • Oversee the reception area (s) tactfully handling students or visitors who may be feeling stressed or displaying disruptive behavioral symptoms, while displaying a confident manner that provides a calming atmosphere
    • Schedule appointments meetings, and activities, including making reminder calls, following up through email in a timely manner
    • Establishes and maintains data, files, and records statistical information
    • Uses word processing (including editing) and database tasks (such as merging, sorting, integrating text with graphics, spreadsheets and database files
    • Check incoming forms and documents for required information

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent;
  • Demonstrated experience of contributing to a work environment that embraces diversity and uses diverse perspectives to enhance the attainment of organizational goals;
  • Ability to follow established guidelines, and accept personal responsibility for the quality and timeliness of work;
  • Achieve excellent results with little need for oversight;

  • Must be proficient with intermediate level of skill using general office equipment and programs such as MS Office Suite (including Word, Excel, PowerPoint, Outlook, OneNote, and Access) use of a 10-key, copy machine, multi-line phones, and FAX machine.

 

PREFERRED QUALIFICATIONS: 

  • Associate's Degree

  • Experience working in higher education and student services

  • Specialized training or experience working in an environment that fosters and promotes excellence in customer service

WORKING CONDITIONS:

  • Both projects are located in the Lindbloom Student Center, in the areas of the following rooms: C2C—LC225; TRIO: LC268, 269A, 269B, 270, 271B, 273. The reception area for C2C will be located in LC225, while the reception area for TRiO is located in LC273. Work is organized and conducted in both places.
  • Must have the ability to operate a computer, 10-key by touch, and answer the telephone;
  • Must be able to readily communicate verbally to participants, visitors, and program staff; input data; be able to independently travel from the assigned desk to each of the other offices in the program;
  • Must be able to occasionally pick up boxes that may weigh up to 25 pounds
  • Must have the ability to sit for long periods of time;
  • Must be able to perform frequent repetitive arm, hand, and finger motions,
  • Must be able to withstand frequent use of computer and exposure to terminal screens in performing work assignments
  • Must be able to work in an open office setting with frequent interruptions, and able to prioritize waiting students while still keeping track of work progress
  • Must be able to handle tactfully frequent interruptions from students, staff, co-workers, visitors, and phone calls.
  • Must be able to tolerate an HVAC system within 10–15 degrees of 70 degrees.
  • Must be able to work independently without direct oversight of others.

TERMS OF EMPLOYMENT

This is a cyclic, 10 month per year, 40 hour per week, overtime eligible position. Cyclic work schedule is September 1st through June 30th. The cyclic prorated salary range starts at at $2,212  per month with periodic increment increases up to $2,855 per month.  A 3% temporary salary reduction will be in effect for represented classified staff positions at Green River Community College from July 1, 2012 through June 29, 2013. Typical work schedule is Monday – Friday, 8:00 AM - 5:00 PM but schedule may vary to meet business needs.  Funding for this position is contingent upon continued funding of the C2C and TRiO grants.  There may be some opportunity to work during July and August for the C2C grant.

A union shop agreement exists for this position which requires membership in the Washington Federation of State Employees within 30 days of hire.
