Instructors Course Reserves Policy

Placing material on Reserve

Instructors may place course-related materials on Reserve for students. Any of the following material types are acceptable:

  • Electronic Reserves (e-reserves): Articles, book chapters, assignments, presentations, solutions, images, syllabi and other similar materials can be added to e-reserves. These items may be submitted on CDs, USB drives, photocopies or email attachments (preferred). Instructors are responsible for copyright compliance. E-reserves are made available through the Holman Library Catalog. Published copyrighted material is password protected.
  • Physical Reserves

  • Book and media requests must be made in person. Bring materials to the Circulation desk. See "How to Put an Item on Reserve" for detailed instructions.
    • Media: VHS tapes, DVDs, CDs, etc. owned by Holman Library can be placed on Course Reserve.
    • Holman Library Books: Circulating books owned by Holman Library can be placed on Reserve. Reference books may not be placed on Reserve.
    • Personal Copies: Instructor's personal copies of books and/or other materials may be placed on Reserve at the owner's risk. Personal copies will be returned at the end of the quarter, or the time specified by the instructor. The Circulation staff is not responsible for lost, damaged or stolen reserve materials.
    • Students' Work: Students' work are protected by the Family Educational Rights and Privacy Act of 1974. The instructor must have signed written permission for all student papers, projects, video presentations, etc. before they can be placed on Reserve.

Updating Reserve Materials

Reserve materials are removed at the end of each quarter, or at the time specified by the instructor. Notify Circulation staff by phone (ext. 2090), email, or in person before the end of the current quarter to update lists and retain material for the next quarter.

Deadlines and Processing Time

Materials can be placed on reserve at any time. It is highly recommended that instructors submit their requests one week before the beginning of the quarter. During the quarter, instructors should allow 48 hours processing time before items will be available to students. All reserve requests are processed in the order they are received.

Fines for Overdue and Damaged Reserve Items

  • Daily checkout items - $1.00 per day with 1 day grace period ($2.00 due on the 2nd day)
  • Hourly checkout items - $.05 per minute with a 30 minute grace period ($1.50 due after 30 minutes)
  • Damaged items - a minimum of $5.00 up to the replacement cost of the item

Copyright permissions for items that do not fall under Fair Use must be obtained by the instructor before they are placed on Reserve.
