Purpose:
Provide information and procedures for students to obtain an official and unofficial transcript.
Scope:
All students, staff, faculty and administrators of Green River Community College.
Definitions:
Official Transcript – A transcript validated by the college’s Registrar and is in a sealed transcript envelope. Generally, other institutions require students to submit official transcripts.
Unofficial Transcript – A transcript not validated by the registrar. Note: Unofficial and official transcripts contain the same information.
Policy:
Students may access their unofficial transcripts on the internet at www.greenriver.edu using their Student Identification (SID) number and Personal Identification Number (PIN). For convenience, students may access their unofficial transcripts at various locations on campus i.e. Lindbloom Student Center and the Holman Library.
Students may order official transcripts, sealed in a GRCC envelope, by submitting a signed Transcript Request form. Students may request up to nine official transcripts per quarter, at no charge. Orders in excess of nine per quarter have a $3 processing fee. Students may request to have transcripts mailed to any location or opt to pick up transcripts in-person with photo identification at Enrollment Services, Registration Office.
In order to comply with Family Educational Rights and Privacy Act 1972 (FERPA), student transcripts will not be released to third parties without prior written and signed permission of the student. In addition, all third parties picking up transcripts in-person at Enrollment Services must have photo identification.
Procedure:
- Student completes and signs a Transcript Request form. An electronic signature is not acceptable, only the student’s actual signature will be accepted. A Transcript Request form is available at Enrollment Services Registration Office or at www.greenriver.edu. (Click Online Services; click Transcripts.)
- Student may submit requests to Enrollment Services by mail, in-person or fax (253) 288-3454. Allow 2-business days for processing of transcripts.
- Students may request to have transcripts mailed to any location or pick up transcripts in-person at Enrollment Services, Registration Office with their photo ID. Allow 2-business days for processing of transcripts.
- Student transcripts will not be released to third parties without prior written permission of the student.
- Transcript Request forms will not be processed for the following reasons: Unsigned request form, student’s record has a “block” or “hold” i.e. Library Fine, Cashier/tuition due, PaperTree debt or an Athletic equipment fee. Enrollment Services will notify student of any situations which prevents processing of the request.
