HR-38 Vacation

Purpose
To verify the following:

  • Maximum vacation accrual;
  • Maximum vacation payout, and
  • Maximum vacation transfer allowed to and from Green River College.
  • Vacation accrual amount;

Scope 
This policy applies to all Green River College employees who accrue vacation leave and are categorized as “classified represented,” “classified non-represented,” “exempt,” or “administrative”.

Policy

Maximum Vacation Accrual

  • All eligible employees may accrue up to 360 hours of vacation. This is a “hard cap” meaning that accrual ceases when an employee reaches this amount.
  • The President may grant an exception to this rule if the employee submits a plan indicating how the accrual will be diminished to at least three hundred (300) hours within a three (3) month period.

Maximum Vacation Payout

  • If an employee leaves employment with Green River College and does not meet the requirements for vacation transfer to another Community and Technical College (CTC) or state agency, the employee will be paid out the appropriate accrued vacation up to the 360 hour cap.
  • If an employee leaves employment with Green River College and meets the requirements for vacation transfer to another CTC or state agency, the college will transfer up to the maximum limit of the accepting CTC or state agency. Should there be remaining vacation accrual after this transfer; the employee will be paid out the balance.

Maximum Vacation Transfer

  • Green River College will accept up to 240 hours of vacation for an employee hired from another CTC or state agency. (See above “Maximum Vacation Payout” for employees transferring to another CTC or state agency.)

Accrual Amount

  • To accrue the vacation for the month, the employee must be in payroll status on the 16th day of the month.
  • Years of employment at another CTC or state agency does not count towards years of employment with Green River College.
  • No employee shall accrue more than the accrual amount of vacation per month indicated below without specific approval by the Green River College Board of Trustees.
  • Classified Represented employees accrue vacation as per their negotiated agreement.
  • Classified Non-Represented employees accrue vacation as follows:
    • For the first three (3) years of continuous employment with Green River College, employees shall accrue ten (10) hours of vacation each month.
    • At the start of the fourth (4th) year of continuous employment with Green River College and through the fifth (5th) year, employees shall accrue twelve (12) hours of vacation each month.
    • At the start of the sixth (6th) year of continuous employment with Green River College and through the fourteenth (14th) year, employees shall accrue thirteen and one-third (13.33) hours of vacation each month.
    • At the start of the fifteenth (15th) year of continuous employment with Green River College and through the nineteenth (19th) year, employees shall accrue fourteen and two-thirds (14.67) hours of vacation each month.
    • At the start of the twentieth (20th) year of continuous employment with Green River College and through the twenty-fourth (24th) year, employees shall accrue sixteen (16) hours of vacation each month.
    • At the start of the twenty-fifth (25th) year of continuous employment with Green River College, employees shall accrue sixteen and two-thirds (16.67) hours of vacation each month.
  • Exempt and Administrative employees accrue vacation as follows:
    • For the first four (4) years of continuous employment with Green River College, employees shall accrue sixteen (16) hours of vacation each month.
    • At the start of the fifth (5th) year of continuous employment with Green River College, employees shall accrue eighteen (18) hours of vacation each month.
